Using Zoom with BreezeBook

Connect your Zoom account and BreezeBook creates a Zoom meeting for every virtual appointment and online event, sends the join link to your client, and keeps the meeting in step when a booking is rescheduled or cancelled.

Before you start

  • A BreezeBook provider account, or a staff account on a provider’s team.
  • A Zoom account. Your Zoom plan’s own limits, such as meeting length on free plans, apply to the meetings BreezeBook creates.
  • If your Zoom account is managed by an organisation, your Zoom administrator may need to allow BreezeBook before you can connect it.

Adding the app

  1. Sign in to BreezeBook and open Settings → Integrations.
  2. On the Zoom Integration card, click Connect.
  3. Sign in to Zoom if asked, review the permissions, and click Allow.
  4. You return to BreezeBook, and the Zoom card shows Connected with the email address of your Zoom account.
  5. If you have also connected Google Calendar, choose Zoom under Meeting Links on the same page. If Zoom is your only video connection, it is used automatically.

Staff members can connect their own Zoom account from their own Settings → Integrations page. Meetings for bookings assigned to them are then hosted on their account.

Using the app

  • Virtual appointments. When a client books a virtual appointment, BreezeBook creates a scheduled Zoom meeting on your account. The meeting is named after the service and the client, any notes the client added become its agenda, and it is set for the booking’s time and time zone. You do not need to do anything.
  • Join links for clients. The join link is included in the client’s booking confirmation and reminders. Their meeting page shows a Join with Zoom button shortly before the start time, and signed-in clients also see Join Zoom on their appointments list.
  • Reschedules and cancellations. Rescheduling a booking moves its Zoom meeting to the new time. Cancelling a booking deletes the meeting from your Zoom account.
  • Online events. Group sessions and workshops can use Zoom too. Every registrant receives the event’s join link.
  • Hosting. You join as the host from your own Zoom app, as you would for any other meeting on your account.

Removing the app

You can remove the app in either of two ways.

From BreezeBook

  1. Open Settings → Integrations.
  2. On the Zoom card, click Disconnect.

From Zoom

  1. Sign in to the Zoom App Marketplace at marketplace.zoom.us.
  2. Click Manage, then Added Apps.
  3. Find BreezeBook and click Remove.

What happens next

  • Disconnecting in BreezeBook revokes its access to Zoom and deletes your Zoom access tokens. The email of the Zoom account you linked stays on your Integrations page so you can see which account it was.
  • Removing the app from Zoom deletes your Zoom access tokens and all the Zoom account details BreezeBook holds.
  • Meetings already created stay in your Zoom account, and join links already sent to clients keep working.
  • New virtual bookings use Google Meet if Google Calendar is connected. Otherwise clients see the joining instructions you have written, so check those are up to date.

What the app can access

BreezeBook asks Zoom for the smallest set of permissions it needs:

  • Your Zoom profile (user ID, account ID and email), to host meetings on the right account and show which account is connected.
  • Create, update and delete meetings, which BreezeBook uses only for the meetings it schedules for your bookings and events.

BreezeBook never accesses recordings, chat messages, meeting content, participant lists, or any meeting it did not create. Read more in the Zoom section of our Privacy Policy.

Troubleshooting

  • Connecting fails or shows an error. Check you are signed in to the Zoom account you want to use, then click Connect again. If your Zoom account belongs to an organisation, ask your Zoom administrator whether they allow BreezeBook.
  • A booking has no Zoom link. Check the Zoom card still says Connected and that Zoom is selected under Meeting Links. If the Zoom card shows a connection problem, click Reconnect Zoom.
  • The Zoom card says Zoom is not available. Contact us and we will help.
